Privacy Policy

Vocis is a SaaS product. You create an account, manage workspaces and projects, crawl sites into knowledge for voice control, and embed a voice widget on your website. This policy covers data we process to run that product. Contact: support@vocis.app.

When you sign up or join a workspace, we store:

• Name, email, and password hash (or Google account details if you sign in with Google)
• Email verification and session data (including IP and browser when you are signed in)
• Workspace membership and role (owner or member)
• When you accept the Privacy Policy and Terms at signup: the time of acceptance and the policy effective date you agreed to

We use this to authenticate you, keep workspaces secure, and send account emails (verification, password reset, quota warnings).

For each project you create, we store:

• Project name, website URL / host, public project id, and API key
• Optional crawl login details you provide (credentials and browser session state are stored encrypted)
• Crawl job status and results, including pages visited and the knowledge / site map built for voice matching

Crawl data is used only to power voice control for that project. You should only crawl sites you own or are allowed to access. Site passwords and session cookies you save for crawling are treated as secrets.

Visitors on your site interact with the Vocis embed. Speech is used to match commands to your UI. Matching often happens in the browser against the live page. When a command cannot be matched locally, our voice API may process the request (including optional AI resolution) and count it against your workspace usage.

You are responsible for telling your site visitors if voice is recorded or processed on your pages. We do not sell visitor speech data.

Payments run through Stripe. We store plan, limits, usage mode (cap or overage), subscription status, and Stripe customer / subscription ids. We do not store full card numbers. We also store daily usage counts for metering, dashboards, and overage billing.

We do not sell personal data. We use service providers to run Vocis:

• Hosting and database for the app and project data
• Stripe for checkout and subscriptions
• Email delivery for account and support messages
• AI providers when a voice request needs cloud resolution

We may disclose information if required by law or to protect the service and our users from abuse or fraud.

We keep account, project, crawl, and billing records while your account is active and as needed for billing disputes, security, and legal requirements. You can delete projects in the dashboard. To delete your account or request removal of personal data, email support@vocis.app. Backups may retain copies for a limited time after deletion.

API keys are secrets (they are not placed in the public embed). Crawl credentials are encrypted at rest. Sessions use secure cookies. Protect your password and project API keys. No system is perfectly secure.

Vocis is for adult business use. We do not knowingly collect data from children under 16.
